2.2. Dashboard

The Dashboard is your homepage. Click it (or the College of Nurses logo) if you get lost and want to come back to the start. On the Dashboard are links to important information, e.g.:

At the top of the dashboard, you have a few shortcuts for searching users as well as interacting with your accounts.

  1. Search users: You can search for other Nurseportfolio members using this search box. Per default, only members of your own institution are searched, but you can expand that search to include others on the results page.

  2. Inbox: The inbox is the place on Nurseportfolio where you can view all your messages. If you decided to receive all notifications via email, you do not have to check this inbox.

    Note

    If you get all notifications via email, your message count on the Inbox icon will always be zero.

  3. Click your profile picture to reach your profile page, which is available to everybody with a login on Nurseportfolio, quickly.

  4. User menu: Click the down arrow to reach the following items.

  5. Your profile, where you can update your personal information.

  6. Profile pictures: Add or remove your profile picture.

  7. Settings: Reach your account settings easily to make changes.

  8. Logout: Click this menu item to log out of Nurseportfolio.

On the right-hand side on the Dashboard you see a number of information boxes. These provide quick access to certain areas of Nurseportfolio.

  1. Click your name to reach your profile page quickly.
  2. Your profile picture is displayed. Click it and you can upload a new one to personalise your profile.
  3. My groups: A list of all groups that you are a member of. Click one to access it easily.
  4. Online users: The Nurseportfolio members who have been online over the past 10 minutes are listed.
  5. Links and resources: Links to important resources for you. These may change.
  6. Click the Edit dashboard button if you want to add different blocks to your Dashboard below that button.
  7. The blocks on the Dashboard allow you quick access to portfolios of others that you have access to, your inbox and other items. If you wish to replace them or add others, you can do so by clicking the Edit dashboard button.

2.3. Update your profile

2.3.1. Profile

Store your personal and contact information in your Profile. Fill in the required fields in the About and General sections of the Profile and then click the Save button to keep your changes.

You do not need to fill in every field if you do not wish to have certain information stored on Nurseportfolio. Only those fields marked with an asterisk * are required.

Your name and your profile picture are the only items from your profile information that are visible to all members of Nurseportfolio. You can choose to make more information available either on your profile page or in your portfolio pages.

2.3.2. Profile pictures

Your Profile picture may be an image of yourself or any other image that you would like to use as your avatar.

Upload a profile picture to personalise your account. Your profile picture will show in forum discussions for example. It will make it easier for others to distinguish between different members.

  1. Profile picture: Click the Browse button to find a picture you want to use as your profile picture. You picture cannot be larger than 1,170 pixels in either dimension. A square profile picture works best.

    Note

    If you took a photo with a digital camera or your smartphone, you may need to reduce its size in a photo editing software on your computer before you can upload it.

  2. Image title: You can provide a title for the image you upload.

  3. Click the Upload button to upload your profile picture to Nurseportfolio.

You can upload up to five profile pictures, but only one can be in use at any time. Change which profile picture you would like to display by making it the default one on this page.

  1. Click the radio button next to the profile picture you want to use around Nurseporfolio for everyone to see.
  2. Click the Set default button to save your choice.
  3. Tick the checkbox next to the profile picture(s) you want to delete from your account.
  4. Click the Delete button to save your choice.

2.4. Create

In this area you create and manage your portfolio content and the portfolios themselves.

2.4.1. Pages and collections

Pages and collections is the place in Nurseportfolio where you assemble the items that you created or uploaded in into pages and collections. You can then share these portfolios with others or simply keep them for yourself.

You can re-use the items that you collected in as many pages as you wish.

Note

If you were asked to create a portfolio, you will most likely copy an existing collection. In that case, you do not need to start from scratch, but can simply edit the pages and add your reflections and files that make up the content of your portfolio.

Please check with your manager if a portfolio template exists that you can use.

Pages contain a selection of content items, i.e. your reflections and files, which you arrange and present to others in a logical form.

A Collection is a set of pages that form a larger portfolio so that your content can be displayed on multiple pages rather than just one long page.

On the landing page of Pages and collections, you can do the following.

  1. Click the Add button to start a new page or collection from scratch.

    Note

    A modal opens in which you can choose whether to create a page or collection.

  2. Click the Copy button to choose an existing page or collection of yours or from another user as basis for a new portfolio.

  3. Search: Type your search term into the search field.

  4. Use the drop-down arrow to limit your search. The available options are:

    • Title, description, tags: Search for your search term in the title, descirption, and tags of your portfolios.
    • Title, description: This is the default option. It searches in the title and description of your portfolios.
    • Tags: Search only within the tags of your portfolios.
  5. Sort by: Decide on the sort order in which you wish to display your portfolios.

    • Alphabetical: Portfolios are displayed in alphabetical order.
    • Date created: List the portfolios in chronologically reverse order with the newest portfolios first.
    • Last modified: Display the portfolios in the order of their last modification with the most recent portfolios that have been changed first. This is the default display option.
    • Last viewed: Show the portfolios in the order in which they were viewed by you and others starting with the most recently viewed portfolios.
    • Most visited: Display the portfolios that have been visited most first in the list.
    • Most feedback: List the portfolios in descending order based on the amount of feedback they have received.

    Note

    The search option and the sort order that you choose do not change when you navigate away from the overview page or log out. When you change either setting, that new one will be used until you change it again.

  6. Click the Search button to search your portfolios based on your search term and / or sorting criteria.

  7. Click the Locked icon or the Unlocked icon to manage the access to your portfolio.

  8. Collections display the number of pages that they contain.

  9. Click the More options icon to reach more options for the page or collection.

  10. If you are on a computer, you can hover over the title of a portfolio and see it in its full length if it needed to be shortened.

  11. Dashboard page: Click the More options icon to make changes to your dashboard page. You cannot delete your dashboard page though.

  12. Profile page: Click the More options icon to make changes to your profile page. You cannot delete your profile page, but you can decide on different sharing options.

  13. Click the Show more button to display more portfolios.

2.4.2. Files

The Files area is the place where you can store all your files that you want to use in any of your portfolios. You can create folders to organise your files.

You can also upload files to your portfolios directly on a portfolio page if you haven’t already uploaded them to the Files area.

2.4.3. Journals

The Journal is a tool with which you can record your thoughts and experiences to use in your portfolios.

Use tags in your journal entries to group them into topics so you can include them into your portfolios easily and also find your entries quickly.

2.4.4. Résumé

The Résumé allows you to create an online résumé (also known as curriculum vitae). Keep it up to date so you can use it at any point in time.

2.4.5. Plans

Plans are simple To Do lists for medium to long-term goals. For example, you can use plans to track your professional development activities for a single year, to plan a research project you are conducting and so on.

'Plans' are good for keeping medium to long-term goals and tick off activities when done.

2.4.6. Notes

Notes are pieces of text that you can re-use from one portfolio page in another.

Note

You cannot add a note directly here. It must always be added via a portfolio page first before it shows up here. However, you can edit your notes from this page. Take care though as the content will be change on every page where the note appears.

2.5. Share

In the Share area you can share your own portfolios, and you can view the portfolios that have been shared with you.

2.5.1. Shared by me

When you created portfolio pages (and collections), you can share them with others. Shared by me allows you to set permissions.

Note

Your portfolios are not shared with anybody per default. You must set access permissions for your assessor or manager to view your portfolios.

You do not have to share every portfolio in your account with the same people as you set the sharing permissions for each portfolio separately.

2.5.2. Shared with me

Use the Shared with me page to find portfolios that others have shared with you in order to comment on them or find interesting portfolios you may wish to review to learn from.

Since the majority of nurses may create (re-)certification portfolios, you might not see many portfolios that you have access to.

2.6. Engage

Engage allow you to engage with others on Nurseportfolio. You can use groups to form communities of practice. These are not restricted to your institution, but anyone on Nurseportfolio sharing your interests can be a member of your groups.

Use groups to support each other in your practice and professional development. You can also use groups for mentoring activities when you are the mentor or the mentee. The possibilities are endless.

You can create group portfolios similarly how you create your personal portfolios and use discussion forums to talk with other members on Nurseportfolio online.

2.6.1. My groups

My groups displays the groups that you administer or in which you are a member.

Find groups displays all groups on Nurseportfolio that you can view and allows you to join or request membership if the group administrator allows that.

2.6.3. My friends

My friends displays your friends and gives you access to their profile.

Note

Your friends do not have access to your portfolio automatically. You will still need to give them access to it.

The list of friends provides you quick access to their profiles though, and you can give them access to your portfolios in one go rather than having to select each individually if you want to share your portfolios with them.

2.6.4. Find people

Find people allows you to search for members on Nurseportfolio you wish to befriend or whom you want to contact.

Note

Per default, you can search for people within your own institution. However, you can expand the search to include other institutions.

2.6.5. Institution membership

Institution membership shows you the institution(s) you are a member of on Nurseportfolio. Typically, you are a member of just one institution.

In some cases, you may be able to leave that institution, in other cases you cannot. That depends on the settings for your institution.

You may request membership of another institution, e.g. when you move to a new job. The institution administrator will receive a notification and can action your request.

2.6.6. Topics

Topics shows the latest discussion topics in the groups where you are a member.

You can see the title of the discussion topic, the forum, the beginning of the discussion post and how many replies it has received already.

2.7. Manage

You can export or import portfolios in the Manage area.

2.7.1. Export

You can use the Export to archive your portfolio on your own computer or an external disk at any point in time.

Use this functionality, for example, to make a backup of your portfolio before you delete lots of content and portfolios in case you delete too much.

The HTML export creates a website of your portfolio that you can view without access Nurseportfolio.

The Leap2A export generates a file that you can use to import your content back into Nurseportfolio or another site running Mahara. This option is good if you want to put a deleted page back into your portfolio.

If you use the export, we recommend you download your account or individual portfolios both as HTML and Leap2A for more flexibility down the road.

2.7.2. Import

Use the Import to upload a Leap2A file of a previously archived portfolio or parts of it to Nurseportfolio. You can also import a portfolio that you created on another Mahara site, e.g. your university’s or polytechnic’s if they used Mahara.

Note

You can only upload Leap2A files and not HTML files. Therefore, always export your portfolio as both HTML and Leap2A so you can view it without Nurseportfolio (HTML) but also upload it again (via Leap2A) if needed.
